Buffalo Electric Supply Improves Process Control With Savance

In business since 1954, Birmingham-based Buffalo Electric Supply is an independent, full-service distributor of wholesale electrical products and tools for contractors, industrial end users, and the general public. The company’s electrical supply store, which specializes in industrial, commercial, and residential wholesale electrical products, is known for its stocked inventory, flexible delivery schedule, and personalized service.

In order to meet customer needs in an ever-changing market, the company needed a new ERP solution. Vice President Patrick McCarroll explains: "The previous software was run on an older operating system that had no ability to tie into an e-commerce platform in the future."

“We knew we were looking for a future-proof, easy-to-use software package that offered great support from the software provider,” McCarroll says. Other criteria included affordability, copy/paste functionality, and the ability to mass-upload inventory changes. E-commerce, of course, was another important area.

After an extensive search, Buffalo Electric Supply made the decision to select Savance. "Being able to pick up the phone and get an answer in a timely manner is something I very much appreciate when it comes to Savance." McCarroll says. Since implementing Savance Enterprise, Buffalo Electric Supply has seen improved process controls, as well as greater accuracy when it comes to inventory and pricing. The product’s ease-of-use has also lead to staff operating much more efficiently. Reporting is another area where Buffalo Electric has seen major improvements. “Savance made the SPA process with manufacturers much more manageable,” McCarroll explains. "For the cost, you can’t find a better software solution. The service and response time is top-notch."

Service Electric Supply Improves Pricing Process With Savance

Service Electric Supply, Inc. is an electrical distributor that has been servicing southeast Michigan since 1990. They carry a large variety of inventory in their 60,000 sq. ft warehouses, and work with everything from independent contractors to large industrials.

Ken O'Dell, VP of Service Electric Supply had this to say about the company's decision to impement Savance Enterprise. "We had been looking for a solution to our quoting issues for quite a while. We had a unique scenario where we needed to prepare quotes for commodities as well as large project quotes such as lighting. The biggest problem that we had was consistency and communications. If you did not do the quotation, your only option was to contact the person that prepared the quotation."

"Then there was the dilemma of finding a quote that you had done for a customer. Some used Microsoft Word, some used Microsoft Excel, some marked up the requests with pen, and some just jotted down prices on an order pad. Even if the quote was located, the sales person would then have to re-key the entire order into the business system."

"Savance Enterprise solved these problems by allowing my staff access to everyone else's quotes. In addition, we could now search for any part of the part number, which made locating items much faster. The system also allows us to set reminders for quotes, which encouraged proactive follow up. This is something that we had always encouraged from a management level but never really provided the necessary tool until Savance Enterprise. The system can automatically require some users to enter a lost order reason for quotes that do not get converted to an order which helps us understand how to increase our quote to order ratio."

"In addition to Savance's application for our staff, we also opted to implement their Internet customer web site. This gives our customers a way to look up pricing, check our stock, build quotes, approve quotes, and follow the status of their order."

"We have received great feedback from staff and our customers on our new professional-looking quotes, improved response times, and our state-of-the-art online system. Above everything else that Savance has done for us, we are most impressed with their approach to business as a partner rather than a vendor/customer.I would recommend them as a vendor and wholeheartedly recommend their product to anyone in the distribution industry."

Advantage Industrial Automation Improves Customer Satisfaction with Epicor

Advantage Industrial Automation, based in Duluth, Georgia, provides industrial control and automation solutions to the food, beverage, water and waste management, consumer products, and materials handling industries, among others. Founded in 1989, Advantage most recently became a subsidiary of Graybar, a leading distributor of electrical, communications, and data networking products. This relationship benefited both companies by joining Advantage's capabilities with Graybar's supply chain management and logistics services to open opportunities into new territories and better serve existing customers.

Challenge: Identify a Windows-based ERP solutions system that accurately captures historical customer information while streamlining the company's processing, purchasing, and shipping process and offering electronic data interchange (EDI) transaction capabilities

Solution: Epicor Prophet 21 Benefits Provided the ability to process and ship orders in a timely fashion Facilitated EDI transactions and minimized the time and errors associated with handling paper documents Automated internal processes so employees can better serve customers

“Our growth plans have always been to expand with existing customers, while identifying new ones. As a subsidiary of Graybar Electric, our resources and potential are greatly enhanced and we are able to expand into new markets and territories. We are always looking for ways to find efficiencies and improve our processes.” said David Tatro, CIO/Finance Director, Advantage Industrial Automation.

According to Tatro, Prophet 21 furthered this goal by providing the ability to “quickly process orders, purchase products, and get those products out the door to customers.” This includes using EDI extensively with larger customers to reduce the time Advantage employees “spend printing and sending things out, logging into other networks to find key details,” and manually producing and tracking down purchase orders and other extraneous documents.

Other benefits included the automation of transactions using Epicor Trading Partner Connect (TPCx) and mapping software features. This has offered the in-depth eCommerce ability to exchange information electronically with customers. For instance, Prophet 21 enabled Advantage to simply and instantly accept transactions and then share purchase and shipping order acknowledgements with one of its largest customers via their new trading platform.

“Prophet 21 has helped us drastically reduce errors,” added Tatro. “The old days of faxing and managing pieces of paper, as well as tracking down files, are done. We are solely focused on growth and meeting customer needs. Epicor knows distribution, and that's what we do.”

Villa Park Electrical Supply Streamlines Processes With Savance

Founded in 1973, Villa Park Electrical Supply Company is a family owned and operated electrical supply and lighting distributor, serving the Greater Chicago area. The company's 3,200 square foot Electrician's Superstore, located in Addison just outside of Chicago, IL, was built with the electrical contractor in mind, and offers products geared toward residential, commercial, and industrial use.

Villa Park's previous business system was an old DOS-based system dating back over 30 years. "As our business grew over the years, and technology changed along with it, we knew we had to upgrade the system to streamline some of our day-to-day processes," explains Rose Ann Deadessis, Managing Partner at Villa Park Electrical Supply. "We also needed to meet the demands of our customers, in order to move forward."

When the Villa Park management team started to look for a new business system, they turned to NAED, the National Association of Electrical Distributors, for a suggestion. "We were searching for software that was compatible with our industry, and NAED referred Savance to us," says Rose Ann Deadessis about how Villa Park first got into contact with Savance.

By making the deployment a priority and approaching it with the right mindset, Villa Park Electrical Supply handled the transition to Savance Enterprise very well. "A lot of distributors think they can just commit to a new piece of software, and magically – overnight – all their problems go away," says Steve Bardocz at Savance. "That’s not how it works. Instead, you have to identify areas where your business has weaknesses and identify opportunities for improvement, and most importantly, be willing to change. When a team is as cooperative as Villa Park, the before and after is like night and day."

Villa Park Electrical Supply has seen improvements in all major areas of its business operations since implementing Savance Enterprise. Many procedures have been streamlined and simplified, and now function much more efficiently. Statement processing and order processing are two examples.

"Statement processing is phenomenal," says Rose Ann Deadessis. "What used to take us all day to do is completed in a matter of minutes. Order processing has become more streamlined as well." When it comes to quoting, team members can put together a quote for a customer in a matter of minutes, and the customer will instantly receive a copy of the quote to their email. Villa Park's receiving and shipping methods have been improved, and now handle backorders and order fulfillment much more efficiently. Another big time savings for the company is that the end-of-day cash drawer reconciliation process has been automated.

"It’s rewarding to be a part of such a major transformation, and help a company that’s eager to succeed take their business to the next level,” Steve Bardocz concludes. “It’s one of the reasons I get up and do what I do. The complete transformation is both motivating and rewarding, and we couldn’t be happier to have had the chance to win Villa Park’s business, and to partner with them long into the future."

Shaw Electrical Captures Cost Savings With DDI

Shaw Electrical Supply was using FACTS. It was difficult to navigate and even harder to pull out critical data. They initially considered implementing a larger, more expensive business software such as Eclipse, but determined that the costs of these systems were prohibitive.

Fortunately, DDI's Inform software was a perfect fit in both cost and functionality. The transition from FACTS to DDI's Inform software went smoothly and DDI provided two dedicated employees on site for assistance and training when it went live. By the second day, Shaw employees were up and running on the new system without missing a beat.

DDI's Inform has allowed Shaw to capture significant cost savings by streamlining their basic paperwork flow and eliminating the need to buy and stock preprinted forms. Customers now receive invoices and statements via fax or email, recognizing cost savings in decreased postage and reduced time spent processing. Processes that once took us minutes can now be done in seconds, and processes that once took hours can now be done in a fraction of the time. This has allowed the company to reduce the time staff spends on administrative duties while at the same time offer a higher level of service to their customers, as well as increased data accuracy.

McNaughton-McKay Electric Improves Efficiencies With Savance

Founded in 1910, McNaughton-McKay Electric Company is a wholesale distributor of electrical supplies. Since 2006, the company is 100% employee-owned.

McNaughton-McKay uses Savance Enterprise's Sales Management module. Says Tim Goulet, of McNaughton-McKay, "The benefits we have experienced [since adopting Savance Enterprise] include greatly improved efficiencies at the order entry and processing level. With this new software, we are saving time and giving our customer a consistent, accurate, and professional looking quote."

Benefits experienced through use of Savance:
  • With Savance Enterprise, customer contact information is automatically populated onto the quote and saved off for future quoting and mailing lists.
  • Enterprise allows customers base to send .xls files with hundreds of lines with part numbers and quantities. It turns these into quotes which can then be turned into orders with a click of the mouse.
  • Enterprise prompts users with part numbers that are close, to help avoid input error. There is also the ability to enter a customer's part numbers and cross-reference with the distributor's part number.
  • Enterprise offers the capability to store quotes in a common area to call up for review. It can then be determined if old pricing should hold or to reprice at the current levels.
Says, Goulet, "I feel strongly that this has been the best change in technology since I have been with McNaughton-McKay. [T]his positive outlook is a common feeling amongst everyone toward our new automated process. It saves all of us time and gives us a chance to do what we do best, sell!"

Nelson Electric Supply Company Gains Functionality With Savance

Nelson Electric is a supplier of industrial automation equipment and services headquartered in Racine, Wisconsin. In operation since 1949, the company has grown to over 50 people, and now features two separate distribution centers in addition to its headquarters and training facility.

The company was running its enterprise on a legacy system originally implemented in 1981 and its warehouse management software was in particular need of updating. Nelson also recognized the need to serve a new generation of customers interested in shopping online from a browser or a smartphone. In order not to disrupt day-to-day operations, any new functionality would have to be implemented incrementally. The company found precisely what it was looking for in Savance's warehouse management and Web store functionality. Savance worked with Nelson Electric to implement the new software quickly and painlessly. "Both solutions integrated seamlessly with our existing ERP system," states Steve Shuman, Nelson Electric's Vice President. "We began to see benefits almost immediately."

Key Benefits of the Savance solution:
  • Best-in-class solution with guaranteed quality assurance.
  • Enterprise-wide increased visibility, accountability, and transparency.
  • Ability to rollout further solutions on an as-needed basis.
  • Overall better customer satisfaction.

Schneider Electric Reduces Costs With Tribridge

Schneider Electric, founded nearly 180 years ago, is a leader in power management – medium voltage, low voltage and secure power, and in automation systems. Schneider provides integrated efficiency solutions, combining energy, automation and software. Two of its acquired business units, Schneider Electric Buildings America (SEBA), and Mission Critical Systems (MCS), had been separately using Microsoft Dynamics SL effectively for nearly a decade each. The two divisions are similar in that they both deal in project management and construction.

The Tribridge solution at Schneider sits on a consolidated single upgraded Microsoft Dynamics SL 2015 platform for both the SEBA and MCS instances. The system is hosted in Schneider’s data center in the midwestern US, and financial data is exported to Oracle Hyperion Financial Management for global financial consolidation and reporting. The minimal data changes and customized experience meant a smooth transition with high user acceptance. The combined Schneider and Tribridge teams accomplished this together, and Schneider is happy with the upgraded solution, and especially Web Apps. Users are now able to enter timecards on mobile devices, which is much more convenient for employees in the field.

Benefits of the Tribridge solution:
• Upgraded solution is now fully supported by Microsoft, reducing liability
• High user acceptance with virtually no disruption to business units
• Combined user licenses for cost savings
• Simplified support for merged solution
• New Web Apps capabilities scaled for mobility
• Flexible and easy to use customization tools
• Support for project-based processes
• Increased flexibility helps bridge the gap between project management and accounting

Drogen Electric Supply Implements Savance ERP For Enhanced Efficiency

Drogen Electric, a wholesale distributor of electrical supplies headquartered in Oneonta, NY, has been in operation since 1949 and expanding from a solo operation to its current size of more than 150,000 square feet of facility space with 11 employees.

Wholesale Electric Gains Valuable Insights With Savance

Wholesale Electric Supply is a Michigan-based supplier of residential and commercial lighting solutions. Their 1800 sq.ft. Bay City showroom displays indoor/outdoor light fixtures from a number of manufacturers. In addition, Wholesale Electric is a full line electrical distributor of commercial lighting and parts.

Says Richard Dodick, CEO of Wholesale Electric Supply of the company's decision to use Savance for their enterprise system, "The system has paid for itself in our efficiency increase alone. We have uncovered pricing issues, exposed purchasing problems (due to minimum penalties and over buying), and finally knew exactly what was in our warehouse. We have gone from paper forms to wireless handhelds that allow us to know almost anything. The Savance staff always went above and beyond to make sure this project was successful. They were attentive to our needs, adapted the solution to our process, and went at our pace. Savance's thorough training and patience was the key to this transition. Everyone here at Wholesale Electric would personally and professionally recommend Savance for any future relationship."

A new Infor white paper, Survival and Growth for Electrical Distributors, states, “It wasn’t long ago that electrical distributors could rely on regional and territorial advantages as a means of maintaining a steady stream of regular customers.” Unfortunately, this is no longer a reliable advantage.

With the Internet turning smaller markets into a single, global exchange, “it’s more important than ever to not just understand your customers’ specific needs, but to also have the flexibility to adjust your business practices in order to meet those needs.

In the paper, seven promising practices are suggested to help electrical distributors survive and grow against mega-competitors like Amazon Business and Grainger.

Here are the qualities that can get you there:
1. Seize the moment: You need to be nimble enough to seize competitive opportunities when they present themselves.
2. The right tool for the job: The best way to visibly pay attention to a customer’s needs is to deeply understand their business and deliver the solutions they’re looking for.
3. Get the pricing right: Your unique inventory determines the pricing model you put forward to your customer. Your ERP has to be able to keep up.
4. Always offer more: Value-added services are a powerful differentiator for specialized distributors, empowering you to better support your customers’ active manufacturing and assembly operations.
5. Sweat the details: The right ERP solution should make it easier for you to meet complex job management requirements, even for projects that take place over a longer period of time or in several locations.
6. Operate on all channels: Omni-channel sales and fulfillment is the new price of entry for any electrical distribution business. Without mobile and social at the center of your ERP, you start out at a disadvantage.
7. Boost that SKU count: Industrial Supply Magazine reports that distributors with high SKU counts are “growing at a minimum of twice the GDP of 2.5%, whereas distributors with smaller content show only slight growth.” Whether your inventory grows organically or suddenly spikes because of a merger of acquisition, you need an ERP system that can carry the load.
