Advantage Sport & Fitness Gains Visibility with SWK and Acumatica

Advantage Sport & Fitness, Inc. (ASF) is a distributor and retailer of professional fitness equipment based in Ithaca, NY, with a second retail location in Greenville, SC, and 35 distribution centers scattered across 16 states. ASF also offers installation, facility planning and design, and maintenance services for all of their equipment. Founded as a "one man shop"in 1987 by John Murray, the current President and Co-owner, Advantage Sport & Fitness now employees 97 people across all of their locations.

In a world where projects can run from a few thousand dollars to over a million dollars, ASF’s sales and operations teams must keep track of all of the associated moving parts for the whole length of the contract. Obviously, the longer sales lifecycles require an automated solution to streamline their monitoring processes. John began searching for a new system for Advantage Sport & Fitness that would allow his team to gain deeper insight into their activities, especially inventory management.

He also added a few more requirements to the list on the functionality side, including featuring a web-based browser and SQL-based programming. While hosting their software remotely was not the biggest concern, John desired a seamless environment that would alleviate their manual IT concerns and automate the upgrade process. “I didn’t want to run around installing applications on everyone’s computer,” says John.

John and ASF began looking at several web-based software systems simultaneously and came across Acumatica. He connected with SWK Technologies to learn more. “Acumatica seemed to be the best fit for us,” says John. "I liked that it was built on the .NET framework -we’re very familiar with that here. It’s something that we can manipulate...and you can run it on a laptop, desktop, notebook, smart watch, or your phone.”

Once Acumatica went live, ASF found that it streamlined their inventory processes and automated their manual checks. “We are now managing multiple warehouses with complete confidence,” says John, “whereas before we were guessing and, in some cases, had to physically visit the warehouse. The system reflects the reality in multiple states. That was the #1 problem and it’s done a very good job.”

Cloud ERP Reduces Costs For Software Startups

Software companies are businesses with the same needs as other businesses; they need the ability to purchase goods and services, pay vendors, service customers, account for activities, and report to stakeholders. In other ways, however, software companies have unique needs for specific software functionality and capabilities. Some are so specialized that few ERP software systems can truly provide for their needs.

One dilemma for software start-ups is the product development stage; to build an initial product offering, they incur significant expenses while they have no incoming revenue. Keeping track of capital raised from multiple investors and reporting operating results to those investors requires sophisticated software that is beyond the capabilities of most “simple,” PC-based accounting software.

Even after a software startup launches its product, other complications can occur.

Software is sold or licensed under a variety of contractual arrangements. These may include a perpetual license with periodic maintenance payments, a “pay as you go” annual or monthly subscription basis, or other market-driven pricing scenarios. In order to be competitive in the software marketplace, software firms must provide for all these acquisition terms for their customers.

Software firms must also comply with complex accounting rules regarding sales activities, especially deferred revenue from sales as well as licensing activities. Most accounting packages available to small start-up companies are not that sophisticated.

Additionally, there is the matter of investor reporting.

Start-up software firms usually have multiple investors who are naturally interested in the firm’s financial results, but they are also keenly interested in the impact of those results on their investment. Such transaction recording, allocation, and reporting requirements are well beyond the capabilities of most “basic” accounting software, and can place a significant burden on the accounting staff of the software firm or require outlays of much-needed cash for accounting services.

Acumatica, a provider of cloud-based accounting software, recently announced that the company has won the top award for "Case Study of the Year" in Business Intelligence’s 2014 BIG Awards.

The BIG Awards annually recognize top-performing companies and organizations. The organization’s proprietary and unique scoring system selectively measures performance across multiple business domains and then rewards those companies whose achievements stand above their peers.

Acumatica’s winning case study focused on Youngevity, a health products distributor with over 100,000 customers. By implementing Acumatica, the company was able to go global while managing their continued growth. Chris Nelson, Youngevity’s CFO, said the cloud-based system was best equipped to support the company's double- and triple-digit growth rates.

Acumatica, which recently launched beta of its latest version 5.0 in August earlier this year, was also a finalist for Business Intelligence’s Product of the Year award. “We’re really excited to win a BIG Award,” said Jean Gea, Acumatica’s Director of Product Marketing and Chief Customer Officer. “Acumatica wants businesses to take control, empower their people, and play to their strengths. Acumatica's Cloud ERP Solution for Discrete Manufacturers

There is little doubt that ERP (enterprise resource planning) systems are complex and time-consuming to implement. However, discrete manufacturing operations are complex and require time, effort, and the attention of multiple parties to properly execute. Discrete manufacturing engineers need to set up and maintain bills-of-materials; purchasing needs to acquire raw materials; warehouse personnel need to store, dispense, and keep track of materials; and production needs to plan and schedule manufacturing activities. Finally, accountants need to assign costs to these activities and summarize them in a language and format everyone can understand.

Small and medium-sized manufacturers often do not have the necessary IT infrastructure to install robust ERP solutions. However, a lack of resources does not mean a lack of need for the benefits an ERP system can provide. Cloud computing has made ERP solutions available for smaller businesses, including those utilizing discrete manufacturing operations. Cloud-based ERP can often provide software solutions without the need of IT support staff while providing all the necessary tools for discrete manufacturers to plan, make, sell, and deliver their products - while eliminating manual transactions and improving the flow of information between all parties involved in the manufacturing cycle. Any discrete manufacturing operation is, by its very nature, complex — complex enough to justify the implementation of a robust, integrated ERP system.

Small and medium-sized discrete manufacturers should consider simplifying their processes and reduce costs via the cloud. Learn more about Acumatica’s cloud-based ERP for discrete manufacturers, visit the company's newsroom.

Acumatica ERP: Solving Common Scaling Issues

When scaling your business, there are many challenges to face, from forecasting resources to figuring out how not to drain your bank account when setting up new branches. Acumatica ERP is designed to help small and mid-sized businesses grow, so it's designed to minimize growing pains.

What are some of the best ways to boost scaling efforts? First, focus on fixing what’s broken. Properly implementing an enterprise resource planning (ERP) system, can help an organization to follow the right processes at scale. When many processes are not working efficiently in a company, you simply have to address each part separately before moving on to the next one. Implementing ERP in a sustainable way — fitting it to ideal business processes — forces a business to get the details right. An ERP system's dashboards and reports should unearth data that helps mangers and leaders quickly identify problem areas.

Research shows that making things easy for customers is crucial for maintaining loyalty. One of the key factors to getting customer service right requires you having customer data at your fingertips. An ERP system should have a reliable, easy-to-use customer relationship management (CRM) system that allows you to do just that. Scaling up can be tricky, but having the right tools to make the process more efficient will help. Be prepared before you start scaling, and the rewards can be tremendous.

Cloud Computing: Managing Security and Data Privacy with Acumatica

As a provider of Cloud ERP (enterprise resource planning), Acumatica is acutely aware of the concerns customers have when it comes to utilizing an external provider for hosting and data storage.

Because Acumatica was built from the ground up to exist in a hosted environment in the cloud, the solution was developed with security in mind. Any browser-based application must utilize strong data encryption techniques to ensure the safety of all data between the client browser and the server-based data store. Ensuring that at least 2048-bit SSL encryption is used in any session based browser application is key. But there are more issues to consider when thinking about data security and data privacy, many of which simply come down to best practices in data handling.

The weakest link in any information exchange involving human interaction is the people. Many of the most common breaches of data privacy and security come down to insufficient understanding of the topic by the people handling that data. Information systems security and techniques such as encryption can partially be mitigate this factor, but every organization has a responsibility to train its people on the effective handling of private and sensitive data.

To learn more about Acumatica's Cloud ERP solutions and best practices for training and development of staff in the areas of security and privacy, visit the Acumatica News Blog.

Hi Spec Doorsets Benefits from Acumatica's 24/7 ERP

Acumatica, a provider of cloud-based enterprise resource planning (ERP) solutions for small and medium-sized companies, recently announced the publication of their latest case study featuring the benefits experienced by Hi Spec Doorsets after switching their ERP system to Acumatica.

Based in the United Kingdom, Hi Spec manufactures tailored doorsets for the construction industry providing customized solutions for hotels, offices, and residential developments, and for the health and education sectors. Hi Spec's old system required the sales staff to update leads, contacts, and sales orders from the office, because the remote login software was faulty.

Hi Spec found Acumatica's solution appealing for its reduced maintenance costs and no user licensing requirements. By utilizing Acumatica’s browser-based system, Hi Spec’s problems with remote login disappeared.

In addition, Acumatica offers financial management, distribution, CRM, and project accounting suites. Acumatica Studio, the company’s technology development platform, gives ISVs and OEMs a rapid, cost-effective means of developing and integrating cloud-based apps, using industry-standard tools.

Acumatica Helps Precision Manufacturing Become ISO-Certified

Acumatica, a cloud-based enterprise resource planning (ERP) solution for small and medium-sized companies, recently announced that Precision Manufacturing Solutions, a New Zealand-based electronics manufacturer,  saw a 20% increase in sales after the implementation.

Started in 2007, Precision Manufacturing Solutions crafts soldering machines, reflow ovens, and paste printers. As the company grew over the years, its internal system of using spreadsheets to organize data and convey information became unsustainable.

After searching for a web-based enterprise resource planning (ERP) system, the company chose Acumatica, which does not charge for individual user licenses - a key consideration for small businesses. In addition,  Acumatica provides highly customizable, cloud-based ERP applications offering financial management, distribution, CRM, and project accounting suites.

Since the switch to Acumatica’s browser-based system last year, Precision has seen its staff grow by 15% and sales grow by 20%. The company also received its ISO 9001:2008 Quality Management System certification in early 2013. A designation that Precision credits to the efficiency and accuracy the Acumatica suite brought to the company's manufacturing processes.

Acumatica: Helping Business Move Into the Cloud

The Cloud has changed the way small and medium-sized companies do business. Business process automation has evolved with the invention of new disruptive technologies. Companies that harness the power of new technology are able to gain an advantage over competitors. The key is knowing when to adopt – too soon and you will spend more time on technology than your business – too late and you will be at a competitive disadvantage.

ERP has evolved from the days of clunky user interface, to the early days of SaaS, to the promise of Cloud ERP software. Key technological improvements driving ERP change include moving from DOS to Windows, maturation of web technology, internet ubiquity, server virtualization, and the proliferation of mobile devices. These technologies have shaped new software that allows employees to work anywhere, on any device with a browser.

Cloud technology has also created new business models, such as software as a service (SaaS) for purchasing and delivering software. Businesses need to know the right questions to ask before going cloud. How easy is it to customize? What is vendor lock-in? Are there deployment options? Data accessibility and security? With the right software vendor, businesses gain advanced technology with a flexible pricing model that allows them to grow and shrink as needed.

To learn more about moving your business into the Cloud, visit the Acumatica news blog.

Acumatica Cloud ERP Software Keeps Businesses Running Through Hurricane Sandy

Hurricane Sandy had a wide-ranging and devastating impact as it slammed though the U.S. East Coast just a few short weeks ago. While power and internet service was out for hundreds of thousands of businesses and residences all along the East Coast for well over a week, smart technology planning and adoption of cloud technologies kept businesses like AME Corporation up and running, and in touch with their employees, their customers and suppliers, shortly after the storm subsided.

AME Corporation specializes in custom rubber and plastic components and sealing solutions, with locations in New Jersey and Shanghai, China. About five years ago, AME Corporation’s President and CEO Ehren Dimitry had the foresight to understand how cloud computing could really give his business a competitive advantage, and could help save his business in the event that natural disasters like Hurricane Sandy strike.

AME uses Acumatica’s built-in business wiki to create and store standard operating procedures, workflow diagrams, and collaborative documents between operations in New Jersey and Shanghai. AME is working with Acumatica partner SIPD Services to fully integrate Box, AME’s preferred cloud-based file repository and collaboration service.
