Seacore Seafood Experiences Unmatched Growth With VAI

Established in 1987, Seacore Seafood is Canada’s leading importer, distributor and custom processor of fresh and frozen fish, seafood and live lobsters. Recognized as one of Canada’s 50 Best Managed Companies, Seacore capitalized on its inward and outbound logistics to make its consumer brand, OceanPrime, widely available across North America while managing more than 5,000 fresh and frozen items in inventory.

To keep up with the growing demand for its products from three distinct businesses and channels, Seacore had to automate core business functions including inventory management, accounting, route management, order entry, logistics and retail point-of-sale. Seacore staff was overwhelmed by the time-consuming manual processes which inhibited the company’s enormous growth prospects. Moreover, Seacore executives grew concerned about the potential negative impact that the tedious and labor-intensive manual processes could have on the company’s customer service, order delivery times and inventory control.

With the installation of VAI’s S2K for Food software and S2K e-Commerce, Seacore automated and integrated key business processes across the organization. The company has dramatically improved its customer delivery times, order accuracy and overall customer service. After implementing VAI S2K Route Manager and S2K for Food, Seacore has realized tremendous business benefits that have allowed them to drive an impressive growth trajectory.

Those key results include:
  • Rapid implementation
  • More accurate and up-to-the-minute inventory management
  • Real-time consolidated financials
  • Automation of core business functions yielded more time to spend on sales and customer service, allowing for faster growth
  • Timely account receivables management
  •  Faster customer delivery rates and reduced order picking time
  •  Faster, more accurate order entry
  • Greater inventory accuracy
  • Faster route management processing
  • Full traceability of products
“VAI’s S2K software allowed us to reach phenomenal efficiencies across the organization. The S2K installation dramatically improved nearly every part of our business – from accounting and logistics to inventory and warehouse management. By automating many of these key functions, our team can focus on critical aspects of our business such as sales and customer service. And we feel confident that we can continue our impressive growth trajectory knowing that our business is running as smoothly and efficiently as possible.” ~ Sal Battaglia, Director of Operations, Seacore Seafood

Smith Drug Company Expands Customer Base With VAI

Smith Drug Company is a $2.5 billion pharmaceutical wholesale/distribution firm that services over 1,000 independent pharmacies and long-term care facilities in 18 states throughout the southeastern U.S. Established in 1944, Smith Drug Company is headquartered in Spartanburg, S.C., and has two other distribution centers in Paragould, Ark., and Valdosta, Ga. Its inventory includes prescription and over-the-counter drugs, beauty supplies and medical equipment.

Without ERP software that improved inventory accuracy, distribution operations and customer service, the continuously growing company was confined to just two warehouses and unable to reach its potential. The primary reason for this was that employees had to manually enter inventory information—a time consuming task considering the high volume of orders received. Manual data entry also impeded Smith Drug’s replenishment process. This made it difficult for users to determine exact quantities of product in the warehouse.

With a strong need to expand beyond its two warehouse facilities, Smith Drug Company understood that investing in a state-of-the-art ERP system would allow the company to do this. VAI’s S2K for Distribution was selected as it offers integrated applications for warehouse, wholesale, purchasing and customer service management.

Upon implementing a customized version of VAI’s S2K for Distribution, Smith Drug Company began to experience an improvement in the efficiency and simplicity of its everyday processes.
  • S2K fulfilled Smith Drug Company’s need for inventory accuracy by alerting employees of errors as they occurred and by tracking inventory movement more closely. With S2K, Smith Drug Company can easily check received item quantities during the put away process, and also check return quantities processed through its restock program.
  • S2K also provided Smith Drug Company with the ability maintain infinite locations for one particular item in the same warehouse facility. This was important because the previous solution only had the capability to accommodate two locations for each piece of inventory.
  • S2K gave Smith Drug Company the ability for automated replenishment, eliminating the mistakes that can come with manual data entry. Moreover, the system schedules purchases before products runs out, ensuring that the company always has adequate inventory on hand to service its customer base.
  • Another issue solved by S2K was the accessibility of information, such as customer and shipping data. Such information is now readily available at employees’ fingertips, consequently improving customer service and virtually eliminating the need for employees to consult the IT department.
Evaluation-Results and Benefits
By implementing VAI’s S2K for Distribution, Smith Drug Company enhanced existing, and acquired new and valuable technological capabilities. Due to S2K’s user-friendly interface, employees can quickly create reports and retrieve customer and order information. As a result, calls to Smith Drug Company’s IT department dropped 75 to 80 percent.

“VAI worked to fully customize S2K to meet our needs and interface with our existing modules. The solution has helped improve the company’s efficiency in warehousing and distribution operations, thus allowing us to open a third location, one of our primary goals.” ~ Isaac Rogers, Vice President of Operations, Smith Drug Company

Sheralven Enterprises Enhances Inventory Processing With VAI

Founded in 1977, Sheralven Enterprises Ltd. is a one-stop shop for fragrances. The Commack, N.Y.-based company sells, manufactures and distributes a wide variety of brand-name and private-label perfumes, colognes, body lotions and other fragrances, while providing warehousing and logistical services for its customers. Sheralven processes and directly ships items domestically and internationally for national retail chains and independents.

Sheralven encountered numerous problems with its previous ERP software package. First, the system was outdated and unreliable, and therefore hindered the company’s productivity and profitability. For Sheralven’s warehousing and sales personnel, the older system required tedious, time-consuming and manual order processing procedures. The company’s distribution operations were note-driven – slowing down the accounting process and preventing a timely order fulfillment process. This directly affected customer service. A solution that could handle large volumes of orders, while simultaneously managing an inventory of over 5,000 products was essential.

Sheralven needed a tool that could automate tasks, such as processing orders, tracking shipments and managing an extensive inventory. The distributor also required a solution that could handle greater volumes of orders, allowing the company to expand its customer base to include larger clients and more frequent orders. At the same time, Sheralven needed its ERP solution to be equipped with a reliable, user-friendly EDI interface to enhance communications between its sales and back-end personnel.

Sheralven had to look no further than VAI for an ERP package that fit its business requirements. VAI’s solution, S2K for Distribution, was both affordable and sophisticated, giving Sheralven the best value. The result is a unique solution for organizing and tracking orders, generating financial statements, improving customer relationship management (CRM) capabilities and automatically processing inventory.

Upon going live with the solution, Sheralven dramatically increased its turn-around time by automating its data management and order processing. Sheralven’s received orders are automatically entered from Excel spreadsheets into the system, eliminating time-consuming, manual entry and reducing the likelihood of errors. “From the moment we receive an order, the process flows seamlessly,” said Sandra Parmentier, Controller, Sheralven. “We can upload, transmit and track orders almost instantaneously without wasting valuable time manually entering data or faxing and emailing invoices.”

Dorcy International Enhances Financial Management With VAI

Dorcy International, headquartered in Columbus, Ohio, is a global distributor of flashlights and batteries. Dorcy employs 100 individuals and has annual revenues of about $50 million.

Dorcy carries about 2,500 items in its inventory, which approaches $12 million at any given time. Three warehouses—two in Columbus, Ohio and one in Burlington, Canada—have a combined capacity of nearly 250,000 square feet.

Dorcy operations relied on 25-year-old, homegrown software. The system lacked a true warehouse management component, and the three facilities were not integrated with each other or with the financial system. Inventory variances approaching $200,000 were not uncommon. No real-time inventory information was available as the system could only batch data overnight.

A separate financial package handled accounting functions, but it did not integrate with the other homegrown software solutions. Staff spent innumerable hours pulling data from the various systems to create basic financial management reports in Excel. The process was repeated weekly and monthly, as needed, to obtain the data necessary to guide corporate operations.

Dorcy faced two challenges – to modernize both the company’s hardware, and software systems in order to handle day-to-day operations. Ultimately, Dorcy selected VAI (Vormittag Associates, Inc.) to be its software vendor because VAI offers fully integrated solutions with unparalleled functionality. Mark Craddock, Dorcy’s IT Director, relates, “Three things impressed us about VAI: its extensive install base, the size of its support staff and its emphasis on regularly updating its software. However, it was the technical knowledge and responsiveness of VAI’s staff that carried our decision. We wanted the personalized service that is the hallmark of VAI.”

Dorcy purchased VAI’s S2K Enterprise Software, including the financial, warehousing, purchasing, and inventory modules, as well as an EDI integrator from VAI business partner EXTOL. VAI software is equipped with built-in adapters that interface directly with this product.

According to Macy Bergoon, Director of Supply Chain, Dorcy, “The combination of real-time inventory, cycle counting and RF devices has yielded negligible inventory variances. We dropped from a $170,000 variance to less than $5,000 in one year.”

A.S Bryden Grows Operations With VAI's S2K

Brydens, a large distributor of wine and spirits, and food and hardware, is headquartered in San Juan, Trinidad with three warehouse facilities in North and Central Trinidad. Brydens needed a way to integrate the operational and financial aspects of the business, but it also needed a solution capable of turning raw data into useful management information for better decision-making capabilities.

Brydens was looking for a comprehensive system with many advanced features and specifically, a solution that could support varying units of measurement. It was essential that the company be able to stock goods in one unit of measure and sell those same goods in other units of measure—no simple request. Since the distributor operates three separate warehouse facilities, Brydens needed a way to increase and better track order fulfilment—all in an integrated ERP (Enterprise Resource Planning) system that was compatible with the firms IBM Power™ Systems platform. The goal was to streamline operations, not only in the warehouse, but also across the entire organization, which meant removing many of the time-consuming manual tasks that were slowing efficiency levels.

VAI, possessed the exact combination of tools to help Brydens transform its business, and three warehouse facilities, into a fully integrated, top-of-the-line distribution company. With VAI’s S2K Enterprise for Distribution, Brydens found a single software product that fit the bill.

After carefully planning and evaluating each of Brydens specific business and warehouse needs, VAI installed S2K Enterprise for Distribution and the S2K WMS package. VAI worked seamlessly with Brydens staff to ensure that each package met their every demand and individual specifications. VAI also paid close attention to Brydens need to work within different units of measure—a high priority demand for the company in being able to deliver orders quickly and accurately.

According to Roy Ramkissoon, Group IT Manager, Brydens Trinidad, “With S2K, greater financial transparency has led to better operational and financial decisions. In fact, since implementation, our company sales and profit margin have increased respectively by an average of 20% and 23% per year, providing Brydens with a true return on investment that can be overwhelmingly attributed to VAI’s S2K product line.”

Wist Office Products Improves Warehouse Efficiency With VAI

Wist Office Products has been serving Arizona businesses since 1955 and is the largest independently owned office supply company in the Southwest. Wist offers over 40,000 products including general office supplies, office furniture and janitorial supplies.

Wist was running an outdated ERP system that presented a number of problems for the distributor. The first primary concern was the system’s lack of flexibility. The software did not allow the company to implement process improvements, and this in turn required Wist to incur extra, unnecessary labor costs. Secondly, errors were common and prevented Wist from acquiring the information it needed for accurate reporting and data analysis.

Still, the biggest challenge was in effectively managing its warehouse operations. As a just-in-time supplier, Wist needed a distribution solution that offered accurate, timely data and automated features to streamline operations and get product out the door for next-day delivery. The company’s old system was simply too outdated to handle this request and required many employees, manually entering data and picking product to make good on its delivery promises. Additionally, since Wist stocks about 1,300 to 1,400 items, but offers over 50,000 products, the supplier required an automated purchasing system that could automatically transmit orders to its suppliers. This was an important and mandatory requirement since wholesalers are an integral part of Wist’s business model.

Wist reviewed several distribution packages before settling on VAI's premier ERP solution, S2K Enterprise software suite. S2K handles next-day delivery and, because VAI has extensive experience working with distributors in every industry, the firm was equipped with the knowledge to design an automated purchasing solution to facilitate seamless communications and integrated operations with Wist’s wholesale partners.

VAI’s S2K for Distribution has helped Wist reduce inventory levels, streamline operations and decrease overhead cost. Now, the company is able to get the up-to-date, high-quality information that it needs to run a competitive business using less payroll hours. Additionally, the company has incurred tremendous cost savings.

Robert Wist, CEO of Wist, summed it up best, “For Wist, the payoff has been substantial. In just 2 years, we’ve recouped the packages implementation costs and S2K has provided a 10% reduction in employee overhead, while gross margins have increased by about 4%-- both considerable benefits for our company.”

Johnson Plastics Stays Ahead Of The Competition With VAI

Founded in 1970, Johnson Plastics, a family-owned company, distributes plastic engraving materials, sign supplies and products for personalization throughout the U.S. and to over 40 countries worldwide. Today, the business owns and operates eight warehouse facilities in Arizona, California, Georgia, Illinois, Minnesota, North Carolina, Ohio and Texas and serves over 20,000 customers.

Johnson was operating on an outdated ERP system that no longer fit its growing business. The company required a software vendor that could easily implement its products and merge each of the Johnson warehouse facilities into one seamless operation, visible on a single computer screen. Because Johnson stocks product in various warehouse facilities, often times, the distributor must coordinate shipping for the entire order from separate warehouses—a complex and cumbersome process without the right software solution.

The ability to deliver products quickly and correctly was among the company’s chief concern in purchasing a new ERP system. Johnson needed a way for staff, no matter which warehouse facility they were based out of, to easily locate and track product, and get it shipped to customers on time.

After a year of research, Johnson found everything it needed—and more—with VAI's S2K Enterprise for Distribution. Since Johnson preferred a software vendor that could also serve as an outsourced IT department and respond quickly to any technical needs that might occur, VAI was the perfect choice. S2K was able to meet Johnson’s precise warehousing needs, and it corrected the distributor’s biggest source of inaccuracy—locating products in the warehouse and shipping them in a timely manner. S2K also provided Johnson with support and integration for all of the company’s software applications including its Web site, credit card, fax and email server. In addition, S2K worked easily with UPS WorldShip™, the system that Johnson uses to ship orders—automatically recording shipping prices and weight, sending the information automatically to UPS, and adjusting Johnson’s records in one fluid process.

Ron Caucutt, Business Analyst, Johnson Plastics, stated, “We’ve doubled our sales since implementing VAI’s S2K. Not only have we added another location, but we are also shipping 40 to 50 percent more orders with the same amount of people, while continuing to increase our customer service levels. The VAI team has access to numerous resources and their response time is exceptional. I was very impressed with how well VAI handled our implementation.”

GoFresh Produce Expands Product Line with VAI

VAI, an independent mid-market ERP software developer, recently announced that GoFresh Produce has implementation VAI’s S2K Analytics software solution. GoFresh opened a new processing facility to prepare cut fruits and vegetables for distribution, a service they previously outsourced. The company anticipates more than 300 tons of fresh produce coming through the 50,000 square-foot facility each week. Founded as a family business in 1941, GoFresh has distributed fresh produce, dairy and other refrigerated goods to Oklahoma for over 75 years, and has since grown its distribution to Kansas, Arkansas and Missouri.

VAI S2K Analytics supports GoFresh’s commitment to processing manufacturing orders same-day, offering real-time inventory management and accurately capturing the cost of the labor that goes into each product. Cut produce is a natural extension for the company and a strategic growth opportunity.

Said David McMillon, Business Analyst at GoFresh. “S2K provides a real-time view into below-minimum orders, current fill rates, products on the dock, pick rates by picker and items on order. The automatic reporting not only frees up time for our employees, but also prevents inventory mistakes, resulting in better customer service.” Since implementing VAI's ERP software with S2K Analytics, the company has moved away from monitoring and controlling inventory manually, significantly reducing inventory loss and focusing employee time on more value-added tasks.

The acquisitions left the business with multiple software systems and no central view or control point. Imperial Bag & Paper selected VAI S2K Enterprise in order to accommodate its multiple acquisitions under one enterprise resource planning (ERP) package through VAI's unlimited user licensing. Imperial also selected VAI S2K for additional reasons including:
  • S2K ERP was compatible with its existing infrastructure and equipment. 
  • S2K ERP could enable Imperial to consolidate all systems onto a single platform and access data in real time. 
  • S2K ERP has a reliable reputation and could provide the flexibility needed for Imperial’s continued growth.
Deploying S2K ERP enabled Imperial to achieve a number of benefits including: 
  • Integration in real-time of all applications. 
  • Consolidated staff from multiple sites reducing overlap and personnel costs. 
  • Improved delivery times and efficiency. 
The application provides Imperial with a trackable audit trail and provides information for more efficient deployment of staff. Additionally, it has reduced transportation expenses, warehouse carry costs, and the frequency of inventory transfers. The S2K ERP system has increased efficiency in accounting, and has requiring fewer personnel to manage Imperial’s accounts. 
