BAT Industrial Products Increases Sales With Phocas

BAT Industrial Products manufactures, imports and distributes industrial, hydraulic hose, valves and fittings for mining, agriculture, irrigation, transport, food processing and other industries. The Blacktown, Australia company serves more than 60 distributors across the nation with some 25,000 line items focused on the safe and efficient transfer and control of air, water, gas, food, fumes, chemical and petro chemical products. 

With such a vast network of distributors and a large catalog of products, keeping track of customers’ buying habits is critical for this medium-sized business. Recently, BAT recognized that it was losing a percentage of its customer base, particularly across specific categories. The company was using a business intelligence tool for reporting, but it was not user friendly and the process of producing report to find out when and where customers were dropping off was a long and arduous task. 

“Customers typically don’t tell you when they start to purchase from another supplier,” said Scott Hudson, Managing Director at BAT Industrial Products. “You need to be able to find out for yourself, to ask the right questions and find what areas need improving. If you don’t know that, then it may be too late. If you’re not on the ball, customers will spread out their purchases into the market and cut out categories all together.” 

This was the situation for BAT when they decided to deploy Phocas Business Intelligence. While the company has only been using Phocas for a short period of time, the impact has been quickly felt, particularly with the sales reps.

Hudson uses Phocas during BAT’s Friday meetings to understand the company’s status with customers. BAT also has a large TV screen on the company’s main floor, which displays a Phocas Dashboard with sales for the day compared to last year; top 10 customers compared to prior year; and customers won, lost and dropping off. Hudson recognizes that there is a lot more than can be done with Phocas, from accounts dashboards and CRM activity to inventory management and purchasing. He also believes that Phocas will help the company generate more business. “We have already started to target categories that are down, and our sales reps are starting to ask why,” said Hudson. “Phocas is still new to us, but our sales reps are using it every day, and we are using our data to improve sales.”

Walker Zanger Refines Decision-making with Phocas

For more than 60 years, Walker Zanger, the world’s most comprehensive luxury stone and tile company, has combined traditional tile making techniques with modern sophistication, creating a brand that transcends any singular style. Walker Zanger has 13 showrooms and 175 authorized dealers in US, and also supplies tile and stone to significant projects across the globe.

The company wanted to deploy robust analytics capabilities to help sales representatives and managers make better decisions. Previously, decision making was cumbersome and time consuming. Users had to either settle for canned reports or wait one to two weeks for IT to build custom queries for them. After a report was run, users who needed to see the data from a different perspective had to rerun the report.

Walker Zanger’s Prophet 21 ERP solution from Epicor manages accounting, purchasing, order entry, and inventory for more than 3,000 stock keeping units (SKUs). Managers in operations, sales, and finance use Phocas to create reports and queries on the data within Prophet 21 ERP to easily analyze sales data about these products. Now they look at a summary report and simply click on an item to drill down to more detailed information; for example, by drilling down from total YTD sales to YTD sales by location.

 As a result, staff use Phocas in a fluid manner, asking follow-up questions at the speed of thought to improve decision making. Sales reps now use Phocas to help dealers find ways to increase sales. Reps show dealers exactly what products have and haven’t sold and compare that information with what the majority of dealers are selling. Using this information, dealers prioritize their efforts to improve sales results.

Before implementing Phocas, reps often used multiple reports and combined information for presentation in a time consuming process that did not allow changes to reports on the fly. Managers use Phocas dashboards to set employees’ performance expectations and track their progress in meeting those goals.

B&R Enclosures Expands Global Reach With Phocas

B&R Enclosures is a private family-owned Australian business with global ambitions. The 60 year-old company designs and manufactures enclosures for a variety of customers, including telecommunications, mining companies and prime contractors for large engineering projects. For the past 10 years, the company has opened offices in China, Saudi Arabia and Malaysia.

Eastern Industrial Supplies Harnesses Big Data With Phocas

Eastern Industrial Supplies is an independently owned distributor of pipe, valves, fittings and commercial plumbing products. Based in Greenville, S.C., Eastern has 16 branches and 3 support locations across the southeastern United States generating more than $100 million in annual revenue.


Dennis Karpinski, director of e-commerce and business analysis at Eastern Industrial Supplies had this to say about the company utilizing Phocas, “Automating our financial statements was a major step for our company, and is already saving time and resources,” said Karpinski. “Branch managers, regional managers and executives now have access to dashboards that give them a snapshot of what is happening with the business, including one-day, month-to-date, year-to-date sales; gross profit percentages; and average sales per invoice, among other data points.”


The biggest impact of Phocas was the ability to recreate branch and corporate income statements and balance sheets. Phocas has automated a manual process, allowing managers to access the financial information that is relevant to them and their specific locations. Once the controller completes the financial statements, an email is sent with a link that gives everyone access to the reports.


Beyond the financial statements, Karpinski has created a variety of dashboards that make it quick and easy to access and analyze data for several areas of the business. Karpinski created inside and outside sales dashboards that allow sales reps to see what they are doing by month-to-date and year-to-date with variances. One of the company’s biggest costs is freight, so Karpinski created a dashboard that highlights month-to-date and year-to-date freight-based spending. The data tracks how branches are billing, collecting or allocating freight costs.


Procurement is also now using Phocas to track the number of months of inventory on hand and monitor particular price lines for how much is in stock, how much is committed, and how much is associated with a bid and not an open order. Recently, new international steel tariffs were announced, which could have enormous impacts on Eastern’s pipe, valves and fittings business. Procurement came to Karpinski looking for data on piping price lines, specifically how many are on hand, committed, sold and their average cost. The department is using the data to determine what they need to buy in light of the tariffs, what products they need to unload and where the company’s average product costs will be below the tariffs so they can protect their cost advantage.


“We can now take the data that has always been there, manipulate it and distribute it quicker than we have ever done in the past. This is already having a significant impact on our ability to make decisions about expenses that are coming up, reducing and moving inventory, identifying purchasing needs and what products are not moving. We could not get where we are today without Phocas. The data is finally usable and in the people’s hands that need it.”

Phocas Lights Up the Data of AEL Electrical Distributors

Established since 1981, AEL is an electrical distributor based in Aberdeen, Scotland. AEL specializes in the supply of control, automation and hazardous area electrical equipment to the oil and gas, marine, petrochemical, renewable and energy sectors. AEL has grown quickly and organically over the past 5 years and now includes offices in Houston; USA, Tema; Ghana, Baku; Azerbaijan and Atryau; Kazakhstan. Their main customers are drilling contractors, panel builders and offshore module builders. The lack of valuable information was hampering the ability of the management team and business development team.


This lack of valuable information was hampering the ability of the management team and business development team to:
•Organize the customers in tiers
•Report the sales
•Match the sales to specific contacts in the CRM system
•Analyze the customers sales and target marketing activity to the customer or sector
•Analyze AEL’s purchasing record allowing for better management of the store and stock


Because of this, AEL implemented Phocas’s Business Intelligence and CRM solutions. One of AEL’s most interesting and significant uses of Phocas is using the system to analyze their On Time in Full (OTIF) percentages. Their OTIF system works by taking the date from the sales order, the date from the line item, the date the item was receipted into AEL, the date receipted out to the customer and the invoice date. Phocas then uses these dates to work out whether the goods were received into AEL on time, late or early; and it also uses the dates to work out if the goods were received by the customer on time, late or early.


The benefit of using both Phocas CRM and Phocas BI for AEL is that the users can see sales figures and by clicking a button be taken to the person / account in the CRM system and vice versa. This allows the data to be linked and allows for tasks to be set for the business development team depending on the data received. This link makes the role of the business development team easier, as only one system is used, allowing for effective and efficient training.

Billows Electric Supply Enhances Business Intelligence With Phocas

Billows Electric Supply (Billows) is a family-owned business founded in Philadelphia, PA in 1950. Since that time, the company has grown to more than 250 employees operating 19 locations throughout the Delaware Valley. Billows provides the full spectrum of residential and commercial electrical needs, switchgear and lighting.


Over the years, Billows has used several solutions for data analytics, but the most important factors to the company were ease of implementation and use. In the past, Billows had to build silos of information for other analytics software packages, and their complexity meant only a few trained people could and would use them. When Billows was introduced to Phocas, it was clear that it would be easy to gather information and make it accessible to different employees. Phocas provides a simple, accessible solution that makes business intelligence available to everyone in the organization, including non-technical users.


David Lowenstein, vendor relations at Billows, added, “What was important about Phocas was that people could just use the product. They could create their own reports or use pre-fab reports. Phocas made data analytics and reporting accessible to more people throughout the company."


Phocas is now used across Billows for a variety of applications. The sales team sets up reports that are emailed to them on a regular basis. They can track their sales, as well as dig further into transaction details to identify challenges and opportunities. Lowenstein and the vendor relations team create custom reports and dashboards that are used for vendor negotiations. Rather than printing off a variety of reports for vendor meetings, they pull up Phocas’ online dashboards to show customers their transaction history with Billows, which helps when negotiating future product pricing. The executives are also taking advantage of Phocas’ dashboards, which allow them to see from a high level what is going on with sales and inventory across the business. They click on an emailed report link, log into Phocas and can quickly review the top-level numbers, drilling into the data to get more details about customers, inventory and transactions.


Lowenstein concluded, “You can do more with Phocas than you can even imagine and you can now get business intelligence into the hands of people across the organization who don’t have access to data today.”

Bennett Auto and Phocas Set New Business Metrics

Bennett Auto Supply is a 34-store retail and distribution business serving individual customers and service centers around Florida with 60,000+ automotive parts and supplies. Sharp data insights and up-to-date reports are helping it set new metrics and standards, says Justin Bennett, general counsel.


Q: What convinced you to go with Phocas?

Justin: We have a lot of reporting in our industry and it’s frustrating when you can’t take a report like payroll and cross it over to sales and see how it’s relating until accountants have handled it. Having something that’s up-to-date will be awesome. Phocas is going to greatly fill that void.

Q: Phocas lets you cross query your payroll and sales data. How is that useful?

Justin: For example, if a store has $100,000 in sales and 1000 man hours, they’re averaging $100 a man hour. Whereas another store might do $100,000 in sales but only have 400 man hours. Things start to jump off the page.

Q: How does Phocas help monitor recruitment costs?

Justin: We’re integrating our telephone usage database with our MAM software so we can relate directly back to store performance. We’re going to be able to ascertain the phone numbers calling in, find out how many times a customer calls and how that translates into sales and orders. Combining that with payroll, you’ll see a store’s sales are $120,000 a year, the phone calls they average, the number of people working there and work out how much they need to make to employ more or less people.

Q: How will Phocas help you improve operations costs?

Justin: We also want to bring in our fuel usage database to work out our fuel spend per delivery compared to revenue per customer.

Zeller Corporation Uses Phocas For Smarter Decision Making

Zeller Corporation provides engineering solutions to global customers. Zeller’s legacy system was sufficient, but had flaws: a report generation process that, although complex, processed all data in the same way and delivered two dimensional and time-delayed outputs.

Zeller’s IT Manager Janet Martinez says, “Phocas changed the game. Once we saw its capabilities and competitive pricing structure, we knew that Phocas offered the functionality, flexibility and business insight we were looking for. Critically, the depth of business intelligence was matched by simplicity of use.” 

Training needs were minimal. Zeller employees were able to operate the system from the moment it went live. “Our CEO has been using it since day one,” says Martinez. “It allows him to slice and dice the numbers in ways that are meaningful to our business, and gives a multi-faceted overview of what’s happening internally, and how we are meeting our customers’ needs.” 

Before Phocas, Martinez was the only member of the Zeller team able to query the business data, forcing her to produce 13 reports every month. This represented a major time investment and delivered static, snapshot, data with no analytical capabilities. Today, 20 members of the Zeller team, including branch managers, sales staff and senior management, access the company’s data in real time, with the ability to drill down and transform it into information that helps to drive productivity and profitability. 

Ongoing support from the Phocas team is uncovering new potential for Zeller. “Phocas is already proving itself a priceless business asset, but the more we use it, the more ways we find to use it,” adds Martinez. “With sales and forecasting now in place, we are looking to add open orders and inventory data so we can bring the same level of visibility to these areas. We are also looking to open it up to more users, bringing the power of real time information to our sales teams on the road. Whatever we need, the Phocas team makes it happen. The sky’s the limit.”
