Sun Mountain Sports Optimizes Inventory With SYSPRO

Sun Mountain Sports is a golf industry pioneer that has revolutionized products like golf bags, performance outerwear, golf travel bags and push carts. The company markets the well-known Eclipse brand of outerwear, as well as 15 other brands. Additionally, through its embroidery division, Sun Mountain Sports is the partner of choice of more than 600 colleges and high-schools. The company has approximately 130 employees and 35 independent representative firms in the U.S. and Canada.

Rapid growth made it increasingly difficult to handle the greater influx of orders, many of which are customizable. It was time for the patchwork of smaller packaged and internally coded solutions to be replaced by a world-class ERP solution. Unnecessary manual processes, no automated integration of systems, and a lack of timely visibility into any of the company’s key performance indicators was holding Sun Mountain Sports back and sapping precious bottom-line profits.

Once Sun Mountain Sports was installed on SYSPRO, things started to change rapidly for the better, according to Vincent Chong, Information Technology Manager, who has been with the company for 20 years. Chong identified three key areas where the company can clearly substantiate manpower savings, namely, financials, orders/ inventory and shipping.

Improvements by Functional Area 

  • Automated Sales Order to General Ledger Postings: “We saw a manpower savings of three hours a day by not having to manually post sales orders via Excel to the general ledger, so that was the first place we noted savings,” Chong said. 
  • Bill-to-Promise Order Visibility/Accuracy: “SYSPRO gives us instant visibility into what’s available at any point in time in our warehouse for shipping, so that when customers place an order we can match up the promised shipping date and the billing date,” Chong explains. “So, for example if a customer wants 10 C130 golf bags by a certain date – we know if we can or can’t deliver by that date. This is both an efficiency tool AND a customer satisfaction tool. ”
  • Better Shipping Management: As one of Montana’s largest shippers by volume, distribution of product to customers has a key impact on Sun Mountain Sports’ bottom line. “We use Federal Express Ship Manager and it used to be a manual process to write details of the shipping information back into our IT systems,” explains Chong. “With SYSPRO, shipping information is entered once for freight lines used and cost of each order.” 
Using SYSPRO ERP, Sun Mountain Sports estimates it has saved thousands of worker hours based on new efficiencies in the company’s sales order, inventory management, and shipping management. Additionally, new visibility into key sales data and trends has helped Sun Mountain Sports to better target its most profitable market niches by product and geographies, and accordingly adjust sales commission plans quickly and easily.

Annabelle Candy Company Enhances Business Processes With SYSPRO

Annabelle Candy Company began operations some 62 years ago when a Russian immigrant began making candy bars in his San Francisco kitchen and selling them outside local movie theatres. Today, the company, named for the immigrant’s daughter, Annabelle, operates in the San Francisco East Bay City of Hayward, California. It produces such brands as Rocky Road, Abba Zaba and Big Hunk and is set to expand its distribution activities from the West Coast to all of the US.

The Challenge
In order to facilitate growth and comply with FDA rules, the company needed to computerize and automate inventory tracking as well as accounting operations, which were being performed manually. After an extensive search, the company selected SYSPRO Enterprise Resource Planning software.

The Solution
SYSPRO’s Cash Book enables Annabelle to optimize cash management with system-wide bank reconciliation information on cash inflows and outflows. By providing complete enterprise-wide financial recording, analysis and reporting from all aspects of the business, the General Ledger module gives Annabelle a real-time view of corporate performance.

Annabelle controls inventories and optimizes stock levels via the Purchase Orders module, which also lets the company monitor quality, lead times and costs of purchases in addition to providing comprehensive supplier performance analysis.

With sales activity data from the Sales Analysis module, Annabelle gains a total picture of sales performance as well as sales profitability and sales forecasting.

The Bill of Materials module also facilitates an accurate expected cost against which to track actual production costs. The complete bill forms the basis for material and capacity planning, shop floor control and costing.

The Result
President and CEO Susan Karl and Vice President of Finance Shelly Craft have attributed much of the company’s rapid growth to their SYSPRO ERP implementation. In fact, the company’s rapid growth in the western United States is now encouraging the company to expand nationally. World Precision Instruments Expands Reach With SYSPRO Enterprise

World Precision Instruments (WPI) specializes in sophisticated instrumentation vital to physiological and medical research. The privately held company began operations in 1967 and growing worldwide demand has led to the company to the establishment of offices in Florida, London, Berlin, Tokyo and Melbourne.

WPI offers more than 1500 products, including data acquisition systems, digital cameras, glass capillaries, pre-pulled glass micropipettes, micro-syringe pumps, fiber optic spectrometers, micromanipulators, electrodes and more. The company’s newest products include a popular line of inexpensive micro-dissecting instruments, adjustable pipettes and binocular microscopes. As a full-spectrum supplier of proprietary and standard instrumentation as well as associated “consumables,” WPI enjoys a distinct competitive advantage. The Challenge:
WPI had been using a DOS-based ERP system, which, explains Petra Adamson, IT Manager, “The system gave nothing back. In order to get information, you had to know the dictionary items and create the proper sentences. Individuals needing data from the system actually had to ask the IT department to get it.” It became apparent that to accommodate growing sales and production, the company needed a new system. So, a software search was initiated and after a year of reviewing various software packages, the choice was SYSPRO Enterprise Software. “It had more of the features we were looking for, plus it was the most user friendly system,” says Adamson.

Astrapak Standardizes Systems With SYSPRO ERP

Astrapak manufactures and supplies a wide range of plastic packaging products grouped into three divisions: Films, Rigids, and Flexibles. They have manufacturing facilities in all the main centers of South Africa and a joint venture operation in Mauritius. The products are supplied to the food, beverage, confectionary, agricultural, consumer, cosmetic, personal care, petrochemical, pharmaceutical, textile and industrial markets.


The Challenges
Astrapak recognized that one system across its enterprise was necessary for future success. Of the 23 business units, three were already running SYSPRO.


The Solution
It was decided to standardize on the SYSPRO solution, and to decentralize IT to the business units based on the highly entrepreneurial nature of each unit. The intention was to follow a single overall strategy, using standard SYSPRO functionality and the concept of strategically sourcing the additional suppliers required. As the various sites were implemented, each business unit acquired the necessary SYSPRO knowledge and took ownership of running the system. With SYSPRO, Astrapak was able to fulfill a critical requirement: for each sales person to act as though he was running his own business. The intention was for the sales person to order the raw material, control it in the warehouse, schedule production and see that the product gets made. The finished goods item was then to be kept in the warehouse and distributed to the customer under the salesman’s control. Finally, the salesman was to be responsible for the debtors’ book of his customers and ensure the money was collected. Using standard SYSPRO functionality and the SYSPRO Report Writer, a small development was undertaken to provide the sales people with the relevant reports.


The Outcome
New barcoding equipment which interfaces directly into SYSPRO has resulted in a more streamlined, robust solution. The three business units which were already running SYSPRO have been upgraded to SYSPRO 6.0 and are able to leverage off the strategic sourcing relationships now in place. Thanks to Astrapak’s single overall strategy, standardization on SYSPRO and the concept of strategic sourcing, the company achieved a successful implementation result unique to each business unit.

Vanns Spices Optimizes Inventory With Syspro USA

Vanns Spices Ltd., a family-owned company based in Baltimore, Maryland, manufactures spices, spice blends, heirloom beans, grains and rice, and flavorings. The majority of the firm’s business is directed at developing and producing private label spice lines for markets, restaurants and web sites. Vanns acquires spices from around the globe and then processes and blends at the firm’s Baltimore manufacturing facility where strict quality controls are enforced.

The Challenge
Vanns was using outdated software and many new clients were requiring lot tracking functionality. Vanns also needed to improve their inventory tracking and integrate their manufacturing and customer service software.

The Solution
Vanns selected SYSPRO as it easily enabled the customization their business required. “In addition to various spices and spice blends, some customers want glass bottles with red caps, some want glass bottles with green caps and there are others that want plastic bottles with green caps. However, using the SYSPRO inventory future free report and trial-kitting functionalities, we can easily determine if we have the inventory on hand sufficient to full the orders and, if not, what we must order,” said Mick Whitlock, President, Vanns Spices.


Whitlock also mentions the other reasons why SYSPRO was Vanns’ choice. While the easy path would have been to upgrade the firm’s incumbent software, the realization was that it would still fail to fulfill all the company’s software requirements. “We wanted to tie our manufacturing software into customer service software, so the SYSPRO Customer Relationship Management software was as attractive as the other SYSPRO features, such as lot tracking. SYSPRO seemed a perfect fit all the way around from Accounting to Manufacturing to Traceability features.”

The Results
The company’s choice of SYSPRO has been validated many times over, says Whitlock. “The software’s reporting functionality, linked into Crystal reports, is phenomenal,” he says. “I can now show our board what products we sell the most of, which products are our most profitable and so on. The reports give us an in-depth picture of our company at any point in time.”
